One of the biggest concerns in wooden product sourcing is simple: the approved sample looks right, but the bulk order arrives with differences in color, dimensions, construction, finish or overall quality.
This problem is rarely caused by one process alone. An approved sample is a result. Mass production requires that result to be translated into repeatable material, manufacturing, inspection and packaging standards.
1. The same wood species does not always mean the same material quality
Wood of the same species can differ in grade, batch, grain, color, knots, sapwood and moisture condition. Terms such as premium grade, Grade A or Grade B may also vary between suppliers.
If a quotation only states “acacia,” “beech” or “rubberwood” without defining acceptable appearance and sorting criteria, the bulk order may technically use the same species while looking different from the sample.
2. A similar shape does not guarantee the same construction
Dimensions, tolerances, thickness, corner radii, grooves, joints and load-bearing details all affect cost and stability. Mortise-and-tenon or other mechanical joints generally provide more structural support than relying on adhesive alone, although the correct solution depends on design, intended use and budget.
Sample approval should therefore cover not only appearance, but also critical dimensions, tolerances, joint construction, adhesive locations and structural requirements.
3. Color and feel come from a complete finishing system
Lacquer, hardwax oil, mineral oil and other finishes produce different colors, gloss levels, textures, processes and use conditions. Brand, formulation, coating weight, sanding grit, drying time and number of applications can also change the result.
Instead of requesting only “the same color as the sample,” buyers should confirm finish type, acceptable color range, gloss level, hand feel, application count and acceptable natural variation.
4. The approved sample must become a traceable production standard
For most projects, Mutian prepares two samples: one for the customer and one retained by the factory. The retained sample is labeled with the customer name, product number and approval date.
Before bulk production, we normally make a first production piece and compare it with the retained sample, drawings, dimensions and confirmed requirements. Bulk production proceeds after this comparison is approved. This helps identify misunderstandings before large quantities of material and labor are committed.
5. Manual inspection still requires defined checkpoints
Our factory currently relies mainly on manual quality inspection. Typical checkpoints include:
- Incoming material and wood sorting;
- Panel lamination, joint construction and bonding condition;
- Dimensions, thickness, holes, grooves and corner radii;
- Sanding, edges and surface finishing;
- Completed product appearance and function;
- Final check before packing.
Manual inspection does not mean inspection without standards. The important questions are what must be checked, which approved reference applies, when the check occurs and who decides whether a deviation should be reworked or rejected.
6. Shipping conditions can change the condition of natural wood
Wood absorbs and releases moisture as temperature and humidity change. Long-distance transport, container temperature fluctuations, destination climate and moisture trapped inside packaging may cause slight movement, expansion, shrinkage or deformation.
This risk should not be described simply as packaging shrinkage. It is the combined effect of wood moisture, construction, conditioning time, packaging and the transport environment.
7. A typical risk scenario
A sample is produced with carefully selected wood and an adjusted finish. However, the bulk specification records only the wood species and overall dimensions. It does not define grade, acceptable color variation, panel layout, finishing system or first-piece approval. The bulk products may meet basic functional requirements while differing from the sample in appearance and hand feel.
The underlying problem is not always intentional cost cutting. Often, the sample contains hidden standards that were never converted into written and inspectable production requirements.
8. What should be confirmed before placing an order?

9. What can and cannot be promised
Natural wood cannot be guaranteed to have zero color variation or to remain absolutely free from movement. However, avoidable bulk deviations can be reduced through material sorting, moisture control, retained samples, first-piece comparison, in-process inspection and final inspection before shipment.
If an issue occurs, we first identify the source. For an unacceptable sample, we explain the reason, propose a correction and remake it. When a bulk issue is confirmed to be our responsibility, the solution may include rework, replacement, compensation or credit against a future order depending on the actual situation.
